How do sponsorship deals work in Sponsorvista?

Sponsorship deals are at the heart of your sponsor management.

In Sponsorvista you record all agreements with sponsors: from amounts and durations to invoicing, packages, and advantages. This gives you both clear oversight and automation of the most important source of income for your club, association, or organization.

What is a sponsorship deal?

A sponsorship deal is an agreement with a sponsor. You link the deal to a contact person and record:


  • Which package is part of the deal (e.g. main sponsor, team sponsor, or custom package)

  • Advantages included in the package (e.g. sponsor board, logo on website, name on shirt)

  • Category of the sponsorship (e.g. shirt sponsoring, events, materials)

  • Amount (fixed or variable, per season or period)

  • Start and end date of the agreement (or choose indefinite duration)

  • Notes or additional terms

👉 The status of the sponsor relationship (prospect, active, former sponsor, not interested) is recorded at the contact level, not at the deal level.

Where do you manage packages, advantages, and categories?
  • Packages: go to Settings > Packages. Here you create sponsor packages (e.g. main sponsor, board sponsor). You can select these later when creating a deal.

  • Advantages: go to Settings > Advantages. Here you define what a sponsor actually gets (e.g. logo on website, sponsor board, mentions on social media). These advantages are linked to packages.

  • Categories: go to Settings > Categories. This helps you classify deals (e.g. shirt sponsoring, events, materials). Useful for reporting and clear overviews.

In the menu Sponsor Management > Sponsorship Deals you will find:
  • The total number of deals

  • The total value of all deals

  • New and expiring deals per season

  • A filterable overview by name, contact, amount, duration, or category

  • Export options (for example, for your treasurer or accountant)

Creating a new sponsorship deal
  1. Click Add sponsorship deal (top right).

  2. Select an existing contact person (create this first under Contacts if needed).

  3. Fill in the details:

    • Duration: start and end date, or indefinite duration

    • Package: select a package you previously created

    • Advantages: linked advantages will appear automatically

    • Category: choose the right category (e.g. shirt sponsoring)

    • Amount: fixed or variable amount (per year, season, or period)

    • Notes: any specific conditions or agreements

  4. Click Save.

What happens next?
  • The deal immediately appears in your overview

  • You receive automatic reminders when the deal ends or needs renewal

  • You can assign follow-up tasks to yourself or team members

  • Sponsorvista automatically links the deal to invoicing (one-off or recurring)

  • All data can be exported for reporting or administration
